Forms and Google Forms
The form view, where answering questions makes a database entry, and publishing the same questions as a Google Form to collect responses.
Form view
A form view is an input screen for a database. Each question is a property, and Submit makes one entry that shows in the other views too.
- In the database, choose Switch view type → Form.
- In Form view settings, write the Form title, Form description and Message after submission.
- Add question picks a property to ask about; set its wording, description, whether it is required, and its order.
- Keep the form as a view with Save as a new view in the view menu (⋯).
Files properties and calculated properties such as formulas and rollups cannot be questions. Answering the form inside ESTnote needs permission to add entries to that database.
Publishing as a Google Form
To collect responses from people without access in ESTnote, make a Google Form with the same questions. Responses come into this database as entries.
- On a form saved as a view, press Publish form (폼 발행).
- Check Questions to publish and Properties excluded from questions.
- Choose the Audience and press Publish.
- Anyone in the organization: anyone with a Google account in the organization can respond.
- Specified people only: after publishing, enter emails under Specify respondents (up to 10 at a time). Google mails them the form link. Until someone is specified, nobody can respond.
- Share it with Open response page, Copy link or Copy embed URL.
Respondents sign in with a Google account, so who responded is recorded and duplicate submissions can be prevented. File upload questions are not made, because the Google Forms API does not support them.
After publishing
| To | Do |
|---|---|
| See the number of responses and the last one | Responses under Publication status |
| Carry changed questions into the form | Edit and save the view, then Republish |
| Stop taking responses for a while | Stop accepting responses |
| Take the form down | Unpublish |
| Handle a form that could not be taken down | If Google could not be reached, the form stays published and its responses are still imported: Unpublish again in a moment. If Google refused, turn off responses yourself through Open in Google Forms, or choose Stop tracking here |
| Check values that did not come in | Values that could not be imported under Response processing issues |
Publishing a form needs Manage permission on the database. Google integration must be set up on the server; if you are told it is not, ask your administrator.
