Template gallery
How to start from built-in templates, team bundles and the templates people in your Space added to its gallery, and how to add and manage them.
Opening the gallery
- Press Templates (템플릿 모음) near the foot of the sidebar.
- Press More templates under How would you like to start? when making a new page.
- Start from a database template in an empty database shows database templates only.
- Start from template in an empty document picks a template to fill that page (a database entry does not offer it; an entry's template is picked as the entry is made). Filled from a Space template, it gets the template's body, sub-pages, the databases in them and look, and keeps a title and an icon it already had.
- Undo (Ctrl+Z, or undo in the bar at the bottom on a phone) right after a template (built-in or a Space template) filled an empty document brings the empty page back, and the sub-pages and databases the template made move to the trash. If you changed the page in between, undo takes back that change only.
Kinds of template
| Kind | What you get |
|---|---|
| Space templates | Document and database templates people in this Space added to the gallery, in the order its admins set. Offered when a new page goes at the top level or under a document, and when an empty document is filled (document templates only). |
| Team bundle | A team's databases, views and templates at once: several databases together under a home page |
| Documents | Ready-to-use document layouts such as meeting notes or a plan |
| Database | A database with properties, views and entry templates |
The gallery opens on Space templates when there are some, and on team bundles otherwise. Type a name or a use into Search templates. Templates whose names match come first, and when a database or entry template inside one matched, the result says what matched.
Using one
- Pick a template and a preview appears on the right: the body of a document, the properties, views and entry templates of a database, or the home layout and databases of a team bundle. A Space template shows who added it and when it was last edited; a document template also how many sub-pages come with it and its body, and a database template its properties and shared views, and the entry templates and number of sample rows that come when you use it (ones kept to someone else do not come, so they are not counted).
- Below the preview it says where it will be made. Depending on where you opened the gallery, that is the top of the Space, under a chosen page, or the empty page or database that is open.
- Press Use this template.
A Space database template makes a new database in that place (never inside a database). What you get is a copy, so change it freely. It is made in the interface language you are using when you pick it, and stays that way if you change languages later.
A database inside a Space template is made anew with it, bringing up to 500 of its rows as samples. With more, the database comes as its structure only, and you are told so afterwards. The databases come along only if you can manage the place the new page goes (for a fill, the page being filled); otherwise you are told they were left out. A private database inside the template is the exception: it comes without that right, private to you. A linked database view in the body shows the new database. Automations and repeat schedules of the template's databases come switched off. They come even when the person using the template cannot manage it; webhook actions do not come.
Adding a template to the gallery
You can turn a well-made page into a template everyone in the Space can use.
- Make the page you want as a template, as an ordinary page.
- Press ⋯ → Add to gallery (템플릿 모음에 등록) at the top right of the page, then Add.
- A copy of the page goes to the bottom of the gallery's Space templates. Its sub-pages are copied with it, up to 50 pages including this one and 5 levels. A sub-page you cannot share (one you may only read) stays out with the pages under it, and the dialog after adding names it. Databases under the page are added with it, with up to 500 of their rows as samples; with more, as their structure only, and the dialog after adding names them.
- A database page added becomes a database template. Its properties, shared views (not your own views) and entry templates go with it, and up to 500 of its rows as samples; with more, its structure only. Automations and repeat schedules go switched off.
- Only someone who can share the page (full access or owner) can add it, and guests cannot. Database entries cannot be added; an entry becomes one of its database's entry templates.
- The original stays as it is, and later edits to it do not change the template. To change the template, press Edit in the gallery to open the template page. What you change there applies to pages made from then on.
- Everyone in the Space except guests sees the template in the gallery and can start pages from it. How would you like to start? in the new-page dialog offers the gallery's first five as well, document and database templates mixed in the admins' order; picking a database template turns the kind to database.
- Databases inside a template (database templates, and databases inside template pages) wait to be used. The database lists of automations, relations and linked database views leave them out (they are offered while you edit that same template), and their automations and repeating templates do not run even when switched on. Search and assigned work leave them out too.
Managing the gallery
Pick a template, and the preview shows the buttons your role allows.
| Button | Who | What it does |
|---|---|---|
| Edit | Whoever added it, and the Space's owner and admins | Opens the template page. |
| To the top, Up, Down | The Space's owner and admins | Changes the gallery's order. A template moved up is offered first in the new-page dialog too. |
| Delete | Whoever added it, and the Space's owner and admins | Moves the template to the trash. It leaves the gallery at once, and comes back to its place when restored from the trash. |
Templates made earlier with Create a template here (이 위치의 템플릿으로 만들기), and those a team bundle installs, stay. They are offered under How would you like to start? when a new page is made where they are.
Templates for database entries are covered in Entry templates and recurrence.
