Feature guide for AI
Every ESTnote feature, with its conditions and limits, on one page. It is written so an AI assistant can answer questions about ESTnote from it, and people use it to see every feature at a glance.
What ESTnote is
ESTnote is a team workspace where people write documents together as pages and databases. Its ideas are close to Notion's: pages are written in blocks, the same entries are seen in several views such as tables, boards and calendars, and several people edit the same page at once.
- Address: https://estnote.estgroup.com. Help is at /docs/ko (Korean) and /docs/en (English).
- Who uses it: company members and invited partners, signing in with a Google account. The rules are in Signing in and signing up.
- Where: a web browser, the Android beta app (Google Play open test) and the iPhone and iPad beta app (TestFlight).
- Interface languages: Korean and English. Document content is never translated.
- Price: there are no plans or payments. The terms of service say it is provided free of charge unless agreed otherwise.
- AI: the editor has no built-in AI writing or summarising. An outside AI agent (Claude, ChatGPT and others) can be connected through MCP to read and write documents.
How to read this page
- This page lists every ESTnote feature. A feature not on this page is not in ESTnote. Things people often expect from other services but ESTnote lacks are gathered in What ESTnote does not have.
- Features follow the order of the help sections. Each one gives the name on screen (English, with the Korean label where it helps), what it does, where it is and its conditions, and links the detailed help page.
- The permission names in the conditions are summarised in Permissions at a glance: Space roles are Owner, Admin, Member and Guest; page permissions are View, Edit, Manage and Owner.
- In "where", "page ⋯" is the more menu at the top right of a page, "⋮⋮" is the handle menu at the left of a block, and "gear" is account settings at the bottom of the sidebar.
- This guide describes the ESTnote version printed at the bottom of the page.
Getting started
Signing in and signing up
- Sign-in is with a Google account only (Sign in with Google / Google로 로그인). There is no email-and-password sign-in, email link, Apple, or SSO such as SAML or OIDC.
- Accounts on the company's Google Workspace domains sign in straight away. Partners and other Google accounts can sign in for the first time only after the ESTnote operators add their email address or domain to the sign-up allowlist. Space owners and admins cannot manage that list. Without an entry the sign-in screen says the account is not allowed to sign up.
- Signing in grants Google basic profile information and Google Drive's
drive.filepermission (only files the person picks and files ESTnote creates). Tasks, Chat and Calendar permissions are asked for when those features are first used. - The first sign-in creates a personal Space with the Getting started with ESTnote guide in Private documents. Every new Space gets the same guide.
- Account settings (gear): Sign out, Signed-in devices (sign the apps out remotely), Appearance (language and theme), Notifications, Connected services (Google Tasks, Drive and Chat, Connected agent apps, API tokens and webhooks), and Delete account (after a 7-day grace period; blocked while you own a Space with other members).
- Only one Google account is signed in at a time. To use another, sign out. Following an app connection link does not silently replace the account already signed in with a different one.
- More: Signing in and your account, What ESTnote is
Interface language
- Korean / English. Before signing in, use the language box on the sign-in screen; afterwards gear › Appearance › Language. In the apps it is Settings › Language.
- The interface, the help and notification texts change; what people wrote stays as written.
- More: Language settings
Mobile apps
- Android: a beta in Google Play's open test, in Korea and the United States. Android 8.0 or later.
- iPhone and iPad: a beta installed from a public TestFlight link. iOS and iPadOS 17 or later. It is not on the App Store yet.
- The apps draw sign-in, Space switching, the sidebar, Home, Search, Inbox, Trash and Settings natively, and open page bodies and database views in the web editor inside the app, so editing a page works as on the web.
- In the next Android app update, reopening the app reuses an editor cookie verified against the current login. A sign-in handoff replaces only session cookies, preserving cookies for other embedded services.
- From the next app updates, Android reports a device draft whose deletion failed and keeps the draft and its attachments. iOS does not show an earlier result when the Space or the inbox or archive changes while kept content is read.
- Only in the apps: push notifications, offline reading of recently opened pages, offline drafts of text edits, saving what another app shares as a new document (20 items at a time, 10 MiB per file), a home-screen widget, and an app-wide text size.
- From Android app 1.0.9 and iPhone and iPad app TestFlight build 12 the app adds Google Tasks to-dos; see Google Tasks and Google Calendar.
- The Android app does not preview PDF blocks; it opens even a PDF uploaded to ESTnote at its source.
- When a newer build is out, a banner at the top of the app says "A new version is available." (from Android app 1.0.11 and iPhone and iPad app TestFlight build 16). Update opens the Play Store on Android and TestFlight on iPhone and iPad; after Close it does not come back for that build.
- The iPhone and iPad app (from TestFlight build 13) does not go to the sign-in screen when opened while the server is briefly not answering during a deployment. It opens on the account kept on the device or, without one, waits on a "the server can't be reached, trying again shortly" screen and continues once the server answers. When the server answers but cannot read the sign-in for a moment (from build 14), it shows that message ("로그인 정보를 잠시 읽지 못했습니다"), tries again by itself after 5, 10, 20 and 30 seconds, and finishes the start in the background after opening on the kept account. Sign-in is lost only when the session ended (signed out from another device, a content reset).
- Opening ESTnote in a phone browser shows a "Continue in the app" banner. Chrome on a computer can install it as a web app (PWA). There is no desktop app for Windows or Mac.
- How the apps differ from the web is in Differences between platforms.

Spaces
- A Space is the largest unit; members and pages belong to it. There are personal and team Spaces.
- Create new Space: the Space menu › Create new Space. Choose a name, icon and kind, and pick any number of starting bundles (template sets). A team Space can invite teammates (10 at a time) and create up to 10 open teamspaces in the same step.
- Inviting: Space settings › Members (shown to owners and admins). Only email addresses on the company's organisation domains can be invited. Partners are not invited to a Space; they become guests through page sharing.
- An invitation received is accepted or declined under "Pending Space invitations" on Home.

Private documents, teamspaces and shared documents
The sidebar's three regions decide who sees a page.
- Private documents (개인 문서): only you see them. + beside the region, or + New, makes a document or database. The row's ⋯ menu adds a subpage, adds to favorites, copies the link, opens in a new tab, shares, moves to another location and moves to trash.
- Teamspaces (팀스페이스): groups inside a Space; everyone who joined sees their pages. Visibility is Open, Join by request or Private. Members other than guests create them and join through Browse teamspaces (the compass icon). Every Space has a default teamspace, which is always open and cannot be archived, deleted or left. Guests cannot join teamspaces.
- Shared documents (공유 문서): pages other people shared with you.
- More: Private documents, Teamspaces, Shared documents
Sharing
- Share: page ⋯ › Share. Pick people by email (10 at a time) or name and give View, Edit or Manage. Condition: Manage permission on the page.
- General access: put in or take out of a teamspace, All Space members (guests excluded), No access. Sharing to a teamspace requires membership in it; Space owners and admins can manage it without joining.
- Subpages inherit their parent's permissions.
- Sharing with partners: sharing a page with someone outside the Space makes them a guest. The recipient must already have an ESTnote account (must have signed in once).
- There is no "anyone with the link" page sharing. To show pages outside without sign-in, publish them as a site.

Writing pages
The block editor
- Pages are written in blocks.
/(the slash menu) adds a block; the ⋮⋮ handle on a block's left moves it or opens its menu. Several people edit at once and see each other's cursors and names. Changes save automatically. - Blocks in the slash menu:
- Headings: Heading 1–3, Heading 4–6, Toggle heading 1–3
- Basic: Paragraph, Quote, Toggle list, Numbered list, Bullet list, Check list, Code block, Divider, Table
- Media: Image, Video, Audio, File, Image slideshow
- More: Callout, 2-column layout, Table of contents, Link embed (YouTube, Vimeo, web bookmark), Emoji
- Embeds: Markdown embed, HTML embed (scripts do not run), PDF embed (by address; a PDF uploaded to ESTnote is previewed in the page, a PDF on another site opens in a new window with Open original), Google Maps, Google Drive, GitHub
- Advanced: Mermaid diagram, Equation (block equations, KaTeX), Database view, Button, Synced block, Dashboard (two database views side by side)
- The ⋮⋮ block menu: Comments, Turn into, colour, the block's own settings, Copy block link, Duplicate, Cut, Copy, Copy and sync, Paste below, Delete. At the bottom it shows word and character counts and who last edited the block, and when.
- Columns: drag a block beside another to put them side by side (up to 4 columns by dragging). On screens 700px wide or less, columns stack.
- Table width: when the columns add up to more than the page is wide (a column without a width counts as 120 px, a dragged one as its width, at least 35 px), the table scrolls sideways. Fit to page width (페이지 폭에 맞추기) in the table's ⋮⋮ handle menu scales every column from its current width so the table fits the page (at least 35 px a column, saved as fitted on the presser's screen; Ctrl/Cmd+Z takes it back). Double-clicking a column border fits that column to its content.
- Pictures in table cells: a document table's cells (merged cells too) take pictures, with text beside or under them. Add one in a cell with
/이미지(image), Add picture (그림 넣기) in the menu at the cell's top right, or by pasting or dropping picture files; drag a picture's corner to resize it (never wider than its cell). Pictures cannot go into ordinary text. HTML and PDF exports and sites show them in their cells; Markdown writesin the cell. The phone apps' offline copies do not show them yet. - Block to page: Turn into › Page makes a subpage.
- Typing like Markdown:
#–######,-or*,1.,[ ],>,```and---turn into blocks. - On touch screens a toolbar at the bottom replaces the handle.
- What is typed while the connection is down is sent once it is back. Input that could not be sent is recovered from Saved input copies in the sidebar.
- There is no menu to move a block straight to another page; cut and paste it. Pictures and files from another page are copied into this page as its attachments when pasted (Ctrl+V too), and left out if you cannot open the page they came from.
- More: Blocks and the slash menu
Formatting and shortcuts
- Selecting text shows the formatting toolbar (bold, italic, underline, strikethrough, alignment, text and background colour, copy format, indent, link, comment). Tables also merge cells.
- Copy format paints one text's look (bold, italic, underline, strikethrough, inline code, text and background colour) onto other text, as it is. One press of the toolbar's brush paints once; two presses keep painting until Esc. The shortcuts are Ctrl/Cmd+Alt+Shift+C (copy) and V (paste), also in the Ctrl/Cmd+/ menu. Links, mentions and comments stay.
- Main shortcuts: Ctrl/Cmd+B, I, U; Ctrl/Cmd+E (inline code); Ctrl/Cmd+Shift+X (strikethrough); Ctrl/Cmd+Shift+M (comment); Ctrl/Cmd+D (duplicate block); Ctrl/Cmd+Shift+↑/↓ (move block); Ctrl/Cmd+/ (block menu); Esc (select block);
:and two letters (emoji); Ctrl/Cmd+K (Quick find). - A page’s maker with Edit can move it to a permitted destination without sharing management rights.
- The block handle’s Turn into menu converts equations to text; its items remain selectable near the top bar.
- Page ⋯ menu shortcuts: Ctrl/Cmd+Alt+L (copy link), N (subpage), D (duplicate; on a database page, duplicate with rows), M (move), S (share), H (version history), E (export), Backspace (trash).
- More: Formatting and shortcuts
Mentions
@finds a person (active members and guests of the Space) or a page by name. Choosing Mention after pasting an address also makes a page mention.- A person mention notifies them in their Inbox. Someone who cannot open the page gets no notification, and the mention says so when it is added.
- There are no date or reminder mentions (such as @today).
- More: Mentions
Attachments and embeds
- Image, video, audio and file blocks take a dropped file, a picked file or a pasted address. A file is up to 10 MiB. Several files at once go into a file block.
- Image slideshow: up to 50 images in one block, shown one after another.
- Pasting an address: choose keep as link, bookmark, embed or mention. YouTube and Vimeo videos, Google Drive, Google Maps, GitHub and PDF addresses embed; other addresses become bookmarks.
- Icon and cover: the page icon (an emoji) is picked in Page appearance. A chosen icon shows above the title and is changed or removed by clicking it (Edit, on an unlocked page); a page without an icon has none above its title (the sidebar and lists show the default icon). The cover is set in Page appearance as a colour (8 of them), an uploaded image or an image address. An image address starts with http or https and is up to 2,000 characters. An address whose picture does not load is saved after a warning, and the page shows a plain band instead of the image.
- More: Attachments and embeds
Comments
- Select text in the body and comment (Ctrl/Cmd+Shift+M), use Comments in the block menu, or write a page comment for the whole page. A selection must lie inside one block that has text.
- Replies, @mentions, Resolve and Reopen, and Resolved / Unresolved filters. A comment whose text was deleted stays as "No content location". Comments appear in real time.
- Condition: writing and resolving comments needs Edit permission. View permission cannot comment, and there is no comment-only permission. Editing and deleting a comment is for its author or the page owner.
- Notifications: a new comment reaches the page owner, a reply reaches the people in that thread, and people following the page get both.
- There are no emoji reactions and no files in comments.
- More: Comments
Version history
- Page ⋯ › Version history. The server keeps automatic versions while editing goes on, and Save current version keeps one by hand.
- Earlier versions open read-only; Restore this version or Create page from this version.
- Retention: versions are kept with no limit on number or age, and go when the page is permanently deleted. When the page's whole content is larger than 16 MiB, no version is kept for that moment.
- Condition: viewing and saving need Edit; restoring needs Owner (teamspace owners and Space owners and admins count as owners).
- More: Version history
Page display and theme
- Page appearance: Icon, font (default, serif, monospace), Small text, Full width, Cover. A database also has Show entries in sidebar. Condition: Edit (showing entries needs Manage; the icon, an unlocked page).
- Indent lines and the theme (light, dark, system) are kept on this device only. The theme is gear › Appearance › Theme.
- Folding the sidebar and resizing it (240–480px). On a phone screen (narrower than 760px) the sidebar starts closed and opens with the ☰ button at the top left.
- The web has no app-wide text size, only Small text per page. The apps have a text size setting. In the iPhone and iPad app (from TestFlight build 15), choosing Small does not make the page's body text smaller than its normal size, because iOS zooms the screen in on editable text under 16px.
- More: Page display settings
Page lock
- Page ⋯ › Lock page. A locked page's body, title, icon and properties cannot be changed; comments still can be added. Locked at the top of the page unlocks it. Condition: Edit, on a document page.
- On a locked page, and on a page that can only be read, picking a file, image, video or audio block shows a bar with Download alone, so it can be saved, on a phone too. No Edit right is needed.

Templates
- Template gallery: Templates near the foot of the sidebar. Built-in templates: 12 team bundles, 29 databases, 15 documents.
- Space templates: a page's ⋯ › Add to gallery puts a copy of it (up to 50 pages including itself and 5 levels, only the sub-pages the person adding it may share) in the gallery. It takes the right to share the page; guests and database entries cannot. Later edits to the original do not change the template. Databases under the page are added with up to 500 of their rows as samples (over that, structure only). A database page added becomes a database template (properties, shared views, entry templates, up to 500 sample rows; automations and repeat schedules switched off).
- Using a template and filling an empty page: the databases inside a Space template are made anew with it, with up to 500 of their rows as samples (over that, structure only). They come only where the person can manage the place the new page goes (for a fill, that page); a private database comes without that right, private to the person. Linked database views in the body show the new databases. Automations and repeat schedules of the template's databases come switched off, even to someone who cannot manage the template (webhook actions left out). A database template makes a new database in that place (top level or under a document, never in a database); filling an empty document offers document templates only.
- They come first in the gallery, under Space templates, in the order the admins set, for everyone but guests. How would you like to start? in the new-page dialog offers the first five, documents and databases mixed; picking a database template turns the kind to database. Picked from an empty document's Start from template, one fills that page (body, sub-pages and look; a title and an icon it had stay). A database entry does not offer it. It takes the right to edit the page, and a template cannot fill itself or a page under it. Undo right after brings the empty page back and moves the sub-pages it made to the trash.
- Managing: the Space's owner and admins reorder with To the top, Up and Down. Whoever added a template and the owner and admins edit it and delete it (to the trash; restored, it returns to its place). A gallery template cannot be moved to another location.
- Location and personal templates made earlier with Create a template here still work, but the switch that made them is gone.
- A page made from a template, and a duplicate, take the source's icon, cover, font, small text and full width, but not its lock. A duplicate keeps the width its source shows; a page made from a template takes its maker's default width where the template sets none.
- Databases inside a template (database templates, and databases in template pages) are left out of the database lists of automations, relations and linked database views (offered while editing that same template), their automations and repeating templates do not run even when switched on, and assigned work leaves them out.
- Templates and the pages under them are not found by search or @mentions; they are found under How would you like to start? when making a page, and in a database's Templates menu.
- An entry template cannot be moved out of its database, and a page template cannot be moved into a database or directly under another template.
- Database entry templates are in Entry templates and recurrence.

Site publishing and analytics
- Publish as site: page ⋯ › Publish as site. A page and its subpages become a read-only website at
/site/<name>, up to 200 pages at a time. - Visibility: Anyone in the organization (Google sign-in needed) or Anyone with the link (no sign-in). The latter needs Allow sites for anyone turned on in Space settings.
- A site shows the content as of publishing; republish after the source changes. The site interface language can be chosen. Subpages with their own restricted access and pages in Trash are left out.
- Condition: Manage. There are no custom domains and no password protection.
- Page analytics: page ⋯ › Analytics. Views over the last 28 days (one person opening again within 30 minutes counts once). Condition: Edit.
- More: Site publishing and analytics
Trash
- Page ⋯ › Move to trash. Subpages and database entries go with it. Trash in the sidebar restores or deletes for good. If the parent is in Trash, restore it first.
- Trash is never emptied automatically.
- Condition: moving to trash is for the owner, an author with Edit, or anyone with Edit on a teamspace page. Deleting for good is only for the owner of every page deleted with it. A page another database's relation points at cannot be deleted for good.
- More: Trash
Databases
Databases and properties
- Automatic dependency shifts move a task with several predecessors after the latest of them, changing each task once. One change moves at most 200 tasks, and the date that was changed is always saved. A successor the person cannot edit stays where it is and pushes nothing further.
- A database is a page that collects entries of the same shape. Each entry is a page too, with its own body, comments, version history and permissions. Create one from New in Private documents or a row's ⋯ › Add subpage, or start from a database template. A table in a page body turns into one with ⋮⋮ › Turn into database.
- Property editing separates new and existing definitions, with choice/relation/formula/rollup controls beneath the property. A new property's type description is spaced below the inputs, and a relation's automatic schedule-shift checkbox appears beside its caption. The Name property that holds each entry's name can be renamed but not deleted; on an entry's page it shows only as the title at the top, not in the property list. Place editing shows captions for name, address, latitude and longitude; the address-search input and button wrap onto separate lines in narrow table cells.
- 18 property types: Title, Text, Link, Number (number, percent, currency), Checkbox, Date (with time and ranges), Select, Status (Not started, In progress, Done groups), Multi-select, User, Files, Relation, Place, Created time, Last edited time, Created by, Formula, Rollup.
- Relation: links databases in the same Space, optionally both ways. Roles for sub-items and dependencies (delay later tasks when a predecessor is late).
- Editing a relation preserves existing links the editor cannot see. Dependency auto-shift stops at an uneditable task and preserves time zones and durations.
- Rollup: gathers values from related entries 16 ways, among them count, sum, average, median, min, max, range, percentages and earliest or latest date.
- A rollup cannot read another rollup, including through formulas. Text filters on show rollups compare the displayed labels.
- Formula: about 90 logical, arithmetic, text, date and list functions; the result is a number, text, true/false or a date.
- Day-only filters compare datetimes in the value’s stored zone, falling back to UTC. Formula month, quarter and year addition/subtraction uses the formula’s stored zone and local month end.
- A property's type cannot be changed after it is made. There are no email, phone number, unique ID or button properties.
- An entry opens as a full page, a side panel or a centre dialog. Database search looks at titles and text properties.
- Condition: adding, changing and deleting properties needs Manage; adding entries and editing values needs Edit.
- Duplicating a database: database page ⋯ › Duplicate with rows / Duplicate structure only. The copy appears beside the original, named with
(사본). It copies the properties, options, shared views, item templates and automations; Duplicate with rows adds the rows with their bodies, attachments and values. A relation to the same database links rows within the copy; a relation to another database becomes a one-way relation to that same database. Rollups and formulas are rebuilt on the copy's properties. - Duplicate limits and exclusions: Duplicate with rows takes up to 2,000 rows and 200 MB of attachments; over that, Duplicate structure only is offered. Automations and repeat schedules are copied switched off, webhook actions are not copied, and automations are copied only with Manage on the original. Personal views, comments, version history, form publications, automation run history and rows the person cannot open are not copied. A large duplicate shows its progress and goes on if the window is closed; what was left out is listed before the copy opens.
- Duplicate conditions and sharing: the person must be able to manage the page above, where the copy goes (edit is enough when the original is private); a database at the top of the Space needs only that they are not a guest. The menu shows only when this holds. The copy does not take the original's sharing; it follows the permissions of where it is, and private databases and rows are copied as private. A duplicate stopped midway is filled in by Continue. While it is still running or within an hour of its start, choosing the same duplicate again goes on with that copy; after that, or once the partly made copy is in the trash, it makes a new duplicate.
- Duplicating a document (⋯ › Duplicate) copies the databases under it, rows included (up to 2,000 rows and 200 MB of attachments across the copy; over that, structure only). Relations between them link the copies, and linked database views and mentions in the body point at the copies. The copy of a page at the top of a teamspace (a duplicate, or a copy from version history) is made in that teamspace. The sub-pages inside rows, and the databases in them, are copied too (up to 50 sub-pages and 5 levels). Databases under a document come along only where the person can manage the page the copy goes under. Private sub-pages are copied as private, and mentions in a copied body notify nobody again.
- More: Databases and properties
Views
- The current view name opens rename, duplicate, copy-link and delete actions.
+creates a view; Layout settings change its type. Table settings have Layout, Property visibility, Filter, Sort, Group and Conditional color sections. Personal views autosave; shared changes initially apply locally and a manager publishes with Save for everyone. Closing does not publish shared changes; other layout editors retain Apply. See Views. - Editing values preserves the loaded extent and screen position after Show more in tables and other paginated views. Changing search, filters or sorting runs the new query.
- 10 view types: Table, Board, Calendar (month, week), Timeline, List, Gallery, Chart (bar, horizontal bar, line, donut), Feed, Map (place property), Form.
- Filters (AND and OR condition groups, "Me (viewer)", overlapping dates) and sorting. Each sort groups its property, direction, reorder and delete controls, wrapping onto separate lines on narrow screens. Form-question reorder and remove buttons sit together at the bottom right of each question. Tables freeze columns, wrap cells, total columns (count, sum, average) and take colour rules (10 per view). Table groups also go by relation, person, multi-select and date (by month and newest first to begin with), and an entry with several values appears in each of its groups. Groups sort ascending, descending or manually (a manual order keeps the first 200 groups), can be hidden, show empty groups if asked, and open 20 entries at a time with Show more. A folded group stays folded in this browser only. Boards group, sub-group and bucket dates.
- Save as a new view saves a view as a Personal view (only you) or a Shared view (everyone who can see the database), chosen in New view audience. That field is the new view's audience only; who sees the database is set by the page's sharing. Saving or changing a shared view needs Manage.
- Database view block: puts the same database into another page's body with a different view and filter (Notion's linked database). A Dashboard block puts two views side by side.
- Database calendars do not sync with Google Calendar.
- More: Views
Entry templates and recurrence
- Invalid template property values are reported as skipped while valid values copy. A scheduled local time in a daylight-saving gap moves forward by the gap; a repeated time uses the earlier instant.
- A database's Templates menu makes entry templates and sets the default for this view or for the database.
- Recurrence: a template creates entries automatically daily, weekly, every two weeks, monthly (including the last day), quarterly, yearly or on a custom cycle. Pause, resume and see recent occurrences. Occurrences missed while the server was down are skipped.
- Databases inside a template: made anew under each entry made from it (Add item, recurrence, automations, buttons), with up to 500 sample rows. The body is written first; once the copy is done, linked database views, buttons and mentions in it point at the new database. Automations and repeat schedules come switched off.
- Limit: if the server restarts during the copy, the entry made then may lack the template's database. One made by recurrence is filled in at the next recurrence pass, ones made by automations or buttons when the server starts again (runs up to 7 days old); one made by hand only when the same request comes again. In an automation's or a button's run log, the Add page step reads In progress until the copy ends.
- Automation limit: each rule copies with sample rows up to 20 times an hour; beyond that, or with more than 200 copies waiting, the databases come as their structure only (the run log says why).
- Condition: making templates, setting defaults and recurrence need Manage.
- More: Entry templates and recurrence
Automations and buttons
- The editor separates triggers and individual action steps, with fields wrapping inside their sections on narrow screens. Expand Text field placeholders: below the actions to see the syntax.
- If property assignment fails within an Add page action, that action rolls back its new entry and copied attachments. Earlier successful actions remain and the run records partial success.
- Automations: a database's Automations › New automation. When (an entry is added / a property is edited / on a schedule, daily, weekly or monthly) → Then (edit this entry's properties, add an entry, edit entries, send a notification, send an email, send a webhook, define variables). Target entries can be narrowed to a view; Run history shows results.
- Scheduled rules share processing time, and what one does not use goes to the rules still working through an occurrence. Reaching the mail quota is not a failure: the current target waits until all its mails fit. An occurrence that cannot run (a condition or access error) cancels its remaining targets, records how many, and counts one failure. Any other error keeps the progress, retries a minute later and counts toward the five that pause the rule. Event rules and buttons do not wait at the mail quota: their Send email action is recorded as failed.
- Filtered schedules process all targets selected at the start of the occurrence in batches and resume unfinished targets after restart. Newly matching entries wait for the next occurrence; moved, deleted or inaccessible targets get a skipped run record. Pause/resume preserves progress. Changing the conditions, actions or run-as user cancels and records the remaining work.
- Automation formulas accept numeric, list and date rollups. Scheduled times follow the same daylight-saving rules as recurring templates.
- Limits: 20 actions, 20 recipients, 100 targets per Edit pages action, 100 emails per person per hour. Five failures in a row turn it off.
- Button block: runs the actions above plus ask for confirmation, insert blocks and open a page or address, with the permissions of the person who presses it.
- Condition: making automations needs Manage; pressing a button needs Edit on that page.
- There is no Slack action.
- More: Automations and buttons
Forms
- Form view: pick questions (title, text, URL, number, checkbox, date, select, status, multi-select, person, relation, place) and take responses in the app; each response becomes an entry. There are no file questions.
- Publishing as a Google Form: publishes the form to Google Forms and brings responses in as entries every 60 seconds. Visibility is Anyone in the organization or Specified people only (10 at a time). Respondents must sign in with Google; anonymous responses are not taken. Person and relation questions are left out of the Google Form. Republish, Stop accepting responses and Unpublish.
- An invalid Google Form place or date answer records its reason and original answer. Valid fields in that response and later responses continue to be collected.
- Condition: publishing a form needs Manage.

Around the sidebar
The sidebar
- From the top: Search, Home, Favorites, Private documents, Teamspaces, Shared documents; lower down Library, Assigned tasks (entries where you are in a user property, by due date), Google Tasks, Inbox, Templates, Trash, Bug report, Suggestion and Help. These foot menus fold with the ⌄ button on the middle of their divider to one Library row (? beside it for Help, Bug report and Suggestion, ☰ for Inbox and the rest, with the unread count on ☰) and your account row, and unfold with ⌃ (remembered in this browser). A page row's ⋯ adds a sub-page (the row has no + button).

Home and Library
- Home: Pending Space invitations, unread notifications, recent visits, entries assigned to me, Google Tasks (the five undone to-dos due soonest and an Add task line), favorites, pages in this Space.
- Library: the Space's top-level pages in tabs All, Recent visits, Favorites, Private, Teamspace and Shared; find by title; move several pages to trash at once.

Search
- Quick find (Ctrl/Cmd+K): 8 results; with no query it shows recent visits. Shift+Enter opens the full search screen.
- What it searches: page titles, bodies, database properties, comments, attachment names, the text of text files, and PDF information such as title and author. PDF body text and templates (with the pages under them) are not searched.
- A one-character query is looked for in titles and property values only; bodies, comments and attachments are searched from two characters. The search screen says so when one character is typed (the web, the Android app, and the iPhone and iPad app from TestFlight build 14), and the web, the Android app (from 1.0.13) and the iPhone and iPad app (from TestFlight build 20) also say how two Latin letters or digits, and two characters looked for in titles and properties only, are searched. A two-character query holding a Korean syllable is found in bodies inside words too (회의 finds 회의를); two Latin letters or digits only as a word of their own (AI finds "AI를" and "(AI)", not "train"); any other two characters (symbols, Chinese characters) in titles and properties only (since 2026-10-25). A two-character body search looks for a limited time, and the web's search screens say so when it could not look through every page; three characters or more search every page, inside words too. A query with spaces is found as that phrase.
- Text in a body is searchable a few seconds after it is edited (within 30 seconds, even while editing goes on without a pause). Until then the page is found by its text from before the edit. Titles and comments are found at once.
- If a temporary storage failure delays a body search update, it is retried automatically. Repeated failures increase the retry interval to at most five minutes. You do not need to edit the saved content again.
- Full search filters: kind (document, database, entry), author, period (today, 7 days, 30 days, a year). Queries up to 200 characters, up to 100 results.
- It searches only the Space that is open, never several Spaces at once.

Favorites
- The star at the top of a page, or a row's ⋯ › Add to favorites. Favorites show in the sidebar and on Home. There is no screen to reorder them.
- More: Favorites
Inbox and notifications
- Inbox: five kinds of notification: mentions, comments, assignments, automations, invitations and shares. Mark all read, mark read or unread, archive, return from the archive and delete.
- Notification settings: gear › Notifications turns kinds off. Follow page, and page ⋯ › notification choice (all comments / only replies and mentions).
- Phone push: in the Android and iOS apps. A web browser gets no push. Queued page notifications recheck the recipient’s access just before dispatch and are not sent if access was lost or the page was deleted.
- In the next app update, signing out clears notices left on the device and retries server logout when connectivity returns. Another account's notice cannot open inside the app. Opening a legacy notice requires a server check. This does not recall iOS background alerts already delivered.
- In the next app update, a draft send interrupted by login expiry keeps its pending content and resumes after signing in to the same account. Drafts refused because of a content reset retain an error and are not automatically resent.
- Inbox notifications are not sent by email. ESTnote sends mail only for Space invitations, page shares, sign-up allowlist notices, automation email actions and app install links.

Managing a Space
Space settings
- The Space name at the top of the sidebar › Space settings. Tabs: General, Members (owners and admins only), Agents, and Import and export (not for guests). Not in the apps; use the web.
- General: name and icon, Allow sites for anyone (publish sites without sign-in; owners and admins), the danger zone (Leave Space, Archive and Unarchive, Transfer all content, Delete empty Space — owner).
- Members: invite (organisation domain addresses only), invitation language, cancel an invitation, change roles, Transfer ownership (to someone who is not a guest; the old owner becomes an admin).
- Agents: Allow agent connections (MCP) and Allow agents to write (owners and admins; both off by default).
- There is no storage limit per Space, only the 10 MiB per file. There is no audit log for users; agent activity is recorded.
- More: Space settings
Import and export
- In combined HTML exports, mentions of included pages jump to their page sections. An ordinary Drive copy update treats external changes during upload as conflicts too; replacing them requires explicit overwrite.
- Import content: Space settings › Import and export. Imports Notion exports (the Markdown & CSV zip), Confluence exports (HTML), Markdown, CSV, text and ESTnote's structure-preserving archive. Review the import plan and run it, check what could not transfer, retry the rest or undo. Results land in Private documents. Files can also be picked from Google Drive.
- Import limits: 500 MiB including unpacked size; 5,000 pages, databases and rows together; 10 MiB per attachment. The server handles one import at a time, so while another runs, try again shortly.
- Word and Excel files are not imported (Google Docs and Sheets from Drive are).
- Export: page ⋯ › Export. Markdown, HTML or the structure-preserving archive (re-importable), for this page only or with subpages. PDF is made by printing the HTML to PDF. With Google Drive as the destination, Google Docs is also offered. Up to 2,000 pages and 64 MiB at a time. Export entire Space too (owners and admins). There is no CSV export.
- Condition: guests cannot import.

Connect
Google Drive
- Drive file block: paste a Drive or Docs address or use Choose from Drive to link a file into a page and expand its preview. Save as attachment puts a copy in the page (Google documents as PDF, up to 10 MiB).
- Importing from Drive: Docs become pages; a Sheet's first sheet becomes a database. 20 files at a time. Slides, Drawings, Forms and folders are not imported.
- Exporting to Drive: makes a copy in an ESTnote folder in your Drive as Google Docs, Markdown, HTML or the structure-preserving archive, and updates a file exported before.
- Condition: signed in with Google, with the
drive.filepermission (files picked and files ESTnote made). A Drive file's own sharing is separate from page sharing. Picking, importing and exporting are not in the apps; use the web. - More: Google Drive integration
Google Chat
- Works after connecting the account through the ESTnote app in Google Chat (an administrator must have set up the Chat app).
- Saving messages: from a message's ⋮, save it as a new page, as a task (database entry), or at the end of an existing page.
- Sharing to Chat and notifications: page ⋯ › Share to Google Chat posts a page or task card to a Chat space and sends status, assignee, due date and comment changes.
- Commands:
/estnote-connect,-note,-task,-request,-search,-mine,-guide. - Work and automation tools: approvals, announcements, work requests, scheduled notifications, summaries and team check-ins.
- More Google tools: create a project (a page and a Chat space), create a meeting (a Google Calendar event with a Meet link; needs share permission; the meeting list is read again from Calendar each time the create-a-meeting section is opened, so moved times and cancellations show), save selected thread messages and Chat attachments (organisation accounts only).
- More: Google Chat integration
Google Tasks and Google Calendar
- Google Tasks: read and write your Google tasks on the Google Tasks screen in the sidebar. Connect through gear › Connected services › Google Tasks. They do not sync with ESTnote tasks.
- Home's Google Tasks section (web, on computers and phones): once connected, the five undone to-dos due soonest (those without a due date last) and an Add task line. With several lists, choose the list to add to; a checkbox completes a to-do. View all opens the Google Tasks screen. Before connecting a Connect Google Tasks link shows; on a server without Google there is no section. After adding a to-do on Home or the Google Tasks screen the cursor stays in the line for the next one.
- Android app (from 1.0.9): adds a to-do from Home's Google Tasks section, from a Document | To-do choice in the create dialog of the bottom + (the floating + on wide screens), and from the launcher shortcut New to-do. Due dates and notes are set on the web. View all and connecting open the web screen in the browser. Offline it shows the lists it kept and says that adding and completing need a connection. There is no widget or share-sheet way to make a to-do.
- iPhone and iPad app (from TestFlight build 12): adds a to-do from Home's Google Tasks section, from a Document | To-do choice in the create sheet of the bottom +, and from the New to-do quick action under a long press on the app icon (from build 17). The circle before a to-do completes it, and Undo on the notice brings it back. Due dates and notes are set on the web. View all and connecting open the web screen in Safari. Offline it shows the lists it kept and says that adding and completing need a connection. There is no widget or share-sheet way to make a to-do.
- Google Calendar: events are created and changed only through the Chat tools' create a meeting. Database calendar views do not sync with it.

MCP agent connections
- AI agent apps such as Claude, ChatGPT, Codex and Gemini connect to
https://estnote.estgroup.com/mcpto read and write ESTnote documents, through OAuth (a consent screen) or an API token. - Tools: search, read a page, list pages, read and query databases (reading); create a page, edit a body, change title and properties, add a comment, move to trash (writing). There are no tools to delete for good, move, change sharing or change a database's structure.
- When an agent creates a database entry it may give
createdBy(the writer: a member of this Space other than a guest, by email or name) andcreatedAt(when it was written: ISO 8601, a time without a time zone read as Korea time, not later than now); they become the entry's Created by and Created time. This is for moving earlier documents in, and only an agent connected by a Space owner or admin may use it. - Condition: an owner or admin turns on MCP connections in Space settings › Agents, and writing separately; both are off by default. An agent acts only within the connecting person's permissions and keeps a version to go back to before it edits a body. Activity is kept for 90 days.
- An MCP connection operates in one Space. An API token for a connected app approved for several Spaces uses only its first reachable Space over MCP; the REST API still supports all approved Spaces.
- More: MCP integration
Public API and webhooks
- Select token permissions and webhook events from labeled checklists.
- The
/api/v1REST API handles pages, databases, search, comments, webhooks and the Inbox. A personal access token (gear › API tokens and webhooks) belongs to one Space and carries the scopes chosen. - 7 webhook events (body, comment, metadata, lifecycle and entry property changes; Inbox created and updated), HMAC signatures, up to 6 retries on failure.
- Moving a page to trash also sends a lifecycle webhook. It reaches subscribers who could read the page when it was deleted and retain access now; retries check access again. Deleted page bodies are not sent.
- Rate limits: per connection 60 reads a minute (bursts of up to 120) and 30 writes a minute, 600 a minute per Space. Import, moving and restoring pages, version history and sharing settings are not in the API.
- Use webhooks, not polling. To learn what changed, subscribe to a webhook and read only the pages it names. Where webhooks cannot be received, call the changes feed (
GET /api/v1/changes, only the pages changed after a cursor) once every few minutes. A body or a database query answers 304 toIf-None-Matchwhen it has not changed. - Database queries recalculate
now()andtoday()formulas on each request, including calls with line breaks or comments between the function name and parentheses. Function names appearing only in strings or comments do not trigger this behavior. - EST Chat: a separate Windows app built on Google Chat. It connects to ESTnote as a connected app for link previews, saving messages, the Inbox, assigned tasks and a document panel.

What ESTnote does not have
Things people may expect from other services, Notion in particular, that ESTnote does not have:
- AI writing, summarising or autofill in the editor (outside AI connects through MCP)
- Sign-in other than Google (email and password, Apple, SAML or OIDC SSO), or several accounts signed in at once
- Page sharing to anyone with the link (outside visibility is through site publishing), a comment-only permission, page access requests, permissions by user group
- Inviting people outside the organisation as Space members (partners become guests through page sharing)
- Custom domains or password protection for sites
- Emoji reactions on comments, inline equations, date or reminder mentions
- Changing a property's type; email, phone number, unique ID or button properties
- CSV export, direct PDF generation (print to PDF instead), importing Word or Excel files
- Slack integration, synced databases from Jira or GitHub, syncing database calendars with Google Calendar
- A desktop app for Windows or Mac, web push, opening pages offline on the web
- Inbox notifications by email
- Searching several Spaces at once, searching PDF body text
- Plans and payments, storage limits per Space
- Interface languages other than Korean and English
Common questions
- Can we move over from Notion? Yes. Upload Notion's Markdown & CSV export zip in Space settings › Import and export; the page tree, bodies, databases, attachments and links between pages come across. Import and export
- Can we work with people from a partner company? Once the operators add them to the sign-up allowlist they can sign in, and sharing a page makes them a guest who sees only that page. They cannot be invited as Space members. FAQ
- Teammates cannot see my new page. Pages in Private documents are yours alone. Move it to a teamspace or share it. FAQ
- I deleted something by mistake. Restore it from Trash; to roll back only the content, use version history. Trash, Version history
- Does it work on a phone? There are beta apps for Android (Google Play open test) and iPhone and iPad (TestFlight), and a phone browser works too. Installing the mobile app
- Does it work offline? The apps read recent pages and keep text edits to send once connected. In the Android app (from 1.0.14) and the iPhone and iPad app (from TestFlight build 21), edits made while a draft is being sent stay on the device. After a lost connection or an app restart, the apps retry the version already submitted with Save first; later edits reach the same document when saved again. Paragraphs and attachments already sent are not appended twice. The web keeps only what is typed on an open page during a short drop. If a page was written again on the server after a draft of it was made in the app (a sharing change, an untrash, a version restore, a cleanup of its stored state), the draft is not saved and the app says "The document was updated on the server, so a draft of its earlier version can't be saved. Copy the whole draft and paste it into a new document." The draft stays on the device, so its text can be copied into a new document. On the web, in the Android app (from 1.0.12) and in the iPhone and iPad app (from TestFlight build 19), a database property value that has not been saved (during a drop, for example) keeps the page from being left, with a message, until the value is saved or undone. In the Android app, Back, a link in the page, and the sidebar that stays beside the page on a tablet (its Space switch included) are held up this way. In the iPhone and iPad app, Back sends the typed value first and leaves once it is saved, and the edge swipe back is off meanwhile. In both apps, opening another page from a notification or an outside link is not held up.
- Can I make a public page? Publish it as a site. To show it without sign-in, the Space must have Allow sites for anyone turned on. Site publishing and analytics
- I want an AI agent to write documents. Turn on MCP connections for the Space, then add the
/mcpaddress in the agent app. MCP integration - I want to save messages from Google Chat. Connect the account through the ESTnote app in Chat, then save from the message menu. Google Chat integration
